Scholarship Assistant
Posted: 12/05/2024JOB SUMMARY: Under the Scholarship Manager's supervision, the Scholarship Assistant is responsible for supporting and assisting the scholarship program. Responsibilities
ESSENTIAL FUNCTIONS:
- Organize student events in conjunction with the Administrative Assistant and other team members
- Participate in events with students, such as University of Alaska Fairbanks RSS events
- Assist the Scholarship Program Manager with advising students about Doyon Foundation application and eligibility requirements and preparing correspondence to students
- Verification of student information in a timely manner to meet deadlines
- Greet visitors in person or by telephone and connect those with the appropriate staff person
- Presents information on the scholarship program and assists students with applications
- Maintain files utilizing record and document management systems
- Assist Program Manager in processing applications to include scanning, copying, and filing documents
- Interact professionally with supervisors, employees, students, and the public
- Assist with streamlining internal processes
- Performs other duties and projects as assigned by the supervisor

DESIRED KNOWLEDGE AND SKILLS:
- Maintain confidentiality and discretion
- Efficient with Microsoft Office Suite (Word/Excel/Outlook/Access/PowerPoint)
- Professional and courteous telephone, e-mail and etiquette and communication skills, including correct grammar and spelling
- Experience with web-based applications and internet use
- Knowledge of office machines including fax, copier, computer workstations, telephone system, voice mail systems
- Ability to follow directions and pay close attention to detail
- Must have strong customer service skills and be a team player
CONDITIONS OF EMPLOYMENT:
- Must pass a pre-employment and random drug testing in accordance with the published policy of Doyon Foundation.
- Must be able to pass a background check.
Qualifications
QUALIFICATIONS:
- High School Diploma or equivalent required.
- Two years of administrative experience required
- Proficiency with Microsoft Word, Excel, Outlook, Teams, Zoom, databases or similar software
- Any combination of training and experience that provides the required skills, knowledge, and abilities.
- Valid Driver's license, access to a registered vehicle and must be able to provide proof of state-required insurance on a registered vehicle.
- Ability to travel as necessary to fulfill the mission of the Foundation.
- Must possess excellent communication, customer service, professionalism, and project organizational skills, and be able to work independently as well as within a team atmosphere
WORKING ENVIRONMENT: The majority of work is performed in a professional office setting with a wide variety of people with differing functions, personalities, and abilities.
PHYSICAL DEMANDS: The work is generally sedentary, requiring routine walking, standing, bending, and carrying items weighing less than 40 pounds.
