• Administrative Specialist

    Minto Development Corporation ("MDC"), a Native Alaska Village Corporation that is active in construction, wilderness safety, and government contracting, is seeking a motivated, detail-oriented Administrative Specialist who has proven and effective experience to assist with the day-to-day business activities in the MDC office in Fairbanks, Alaska. This position offers training and growth opportunities within the Minto family of companies. This Is Not an Entry-Level Position.

    Location:        Fairbanks
    Hours:            Part-Time (up to 25-hour work week), May work Full-Time the first six weeks.
    Pay Rate:       DOE

    ESSENTIAL DUTIES AND RESPONSIBILITIES:
    • Provide professional-level administrative organization and support, including filing, storing documents and operational gear, word processing, creating/ maintaining Excel spreadsheets, professionally greeting visitors in person or by telephone, and connecting them with the appropriate staff person and other Admin Assistant tasks.
    • Maintain Company calendars to include office staff, board meetings, and company and community events.
    • Assist in bookkeeping functions, including A/P, A/R, Inventory, Payroll, travel and trip expense reports.
    • Organize and maintain electronic and paper files of company handbooks and documents.
    • Maintain database for supplies, including inventory, purchase, and re-supply costs.
    • Responsible for operational inventory control of supplies, including check-out/check-in, expiration dates, re-supply, and re-shelving.
    • Maintain Company websites; create, design, and modify web material; assist associated vendor.
    • Positively interact with supervisors, employees, Board members, and the public.
    • Prepare meeting notices, agenda; and resolutions for Board meetings; timely compile and distribute meeting packets; assist in meeting follow-up actions.
    • May be required to attend Board meetings.
    • Perform other support duties as assigned.

    EDUCATION/EXPERIENCE:
    GED or High School Diploma required

    • 3 years’ experience as an Administrative Assistant or similar office position.
    • 2 or more years of proven and demonstrated office experience with Microsoft Office applications, especially Word, Excel, Outlook, and Teams.
    • Demonstrated ability with QuickBooks Online and Adobe Acrobat.
    • Professional telephone etiquette.
    • Knowledge of office machines including copiers, computer workstations, telephone and voicemail systems.
    SKILLS AND ABILITIES:
    • Highly motivated, a self-starter who takes initiative, works well with minimal supervision, must be able to be at work on time, stay engaged with daily priorities, finishing assigned tasks in a timely, professional, and excellent manner.
    • Must have a positive, friendly attitude and be a team player; able to handle stressful situations with measured calmness and decisiveness.
    • Ability to communicate clearly in writing and orally.
    • Ability to take notes, follow directions, and pay attention to detail.
    • Must maintain client records and confidentiality.
    • Must ensure the physical security of the office (office and cabinets locked when not present, etc.).
    • Daily office cleaning and organizing.
    • Travel may be required for training or work.
    • Must be able to pass a criminal background test.
    PRE-EMPLOYMENT
    Drug tests are required.
     
    WORKING ENVIRONMENT
    Most of the work is performed in a professional office setting with various people with differing functions, personalities, abilities, and locations.
    90-day Probationary Period, with regular performance reviews and an annual pay review.
     
    PHYSICAL DEMANDS
    The work is generally sedentary, requiring routine walking, standing, bending, and carrying items weighing less than 40 pounds.
