    JOB SUMMARY: The Administrative Assistant works closely with the Doyon Foundation team to provide administrative duties and support that enable Doyon Foundation to operate efficiently. This position also works across the operations, scholarship, and language revitalization teams to support scholarship programs, community relations, and fund development.


    Responsibilities
     

    ESSENTIAL FUNCTIONS:

    • Answers primary telephone system, makes referrals, takes messages, and directs incoming calls appropriatel
    • Greets students and visitor
    • Organize, schedule, and set up board and staff meetings, as well as community outreach meetings using Microsoft Outlook
    • Arrange travel for Doyon Foundation team members
    • Work with Doyon Foundation accounting staff to prepare weekly expense reports
    • Create, design, and modify documents using Microsoft Office programs
    • Coordinate and maintain records for office space
    • Responsible for maintaining the Language Revitalization department’s electronic and paper filing system
    • Responsible for maintaining and ordering office supplies
    • Responsible for meeting room logistics and preparation
    • Sort and distribute in coming mail; prepare and send outgoing mail
    • Proofread all work for accuracy and clarity
    • Perform other duties and projects as assigned by the supervisor
    • Support language project managers with grant-related administration

    KNOWLEDGE, SKILLS & ABILITIES:

    • Highly organized and able to work independently
    • Knowledgeable of office administration
    • Proficient in answering telephones and greeting the public professionally and courteously; interact with various community members and visitors professionally, even under pressure.
    • Competent in communicating effectively, orally and in writing, and following instructions.
    • Ability to make simple computations and tabulations accurately and with reasonable speed.
    • Ability to work as part of a collaborative team environment and be independently responsible.
    • Maintain confidentiality and discretion.
    • Knowledgeable or desire to learn about the cultural heritage of Doyon shareholders.

    Qualifications
     

    QUALIFICATIONS:

    • High school graduate or equivalent
    • Two year minimum administrative assistant experience
    • Ability to operate all Microsoft Office programs, such as Outlook, Word, Excel, etc.
    • Ability to accurately type at least 45 wpm
    • Valid Driver’s license, access to a registered vehicle and must be able to provide proof of state-required insurance on a registered vehicle.

    WORKING ENVIRONMENT:
    Most of the work is performed in a professional office setting with a wide variety of people with different functions, personalities, and abilities. The work is generally sedentary, requiring routine walking, standing, bending, and carrying items weighing less than twenty-five pounds.


    PHYSICAL DEMANDS:
    An individual will be required to work the majority of hours in a general office environment and will need to be able to respond quickly to a change in work demands.
